How to make a quotation

  1. Add your business once: name, address, GSTIN and logo. If you have used our invoice generator, this is already filled in.
  2. Add the customer: their name and state, which decides whether GST is shown as CGST and SGST or as IGST.
  3. List what you are offering: description, HSN or SAC code, quantity, rate, any discount and the GST rate.
  4. Set how long the price holds in “Valid until”, and edit the terms to match how you work.
  5. Download the PDF and send it. Keep the quotation number: it is how you and the customer refer to this offer.

What a good quotation contains

No law prescribes a format for a quotation, unlike a tax invoice. What makes one work is that the customer can say yes to it without a single follow-up question:

  • Who is offering to whom, with both addresses and your GSTIN, so the customer can check you are registered.
  • A number and a date, so a revised quote does not get confused with the first one.
  • Each item priced separately, with the unit, so the customer can change a quantity and work out the new total.
  • GST shown, not hidden: the taxable value and the tax, so the approved figure is the one that gets paid.
  • How long the price is valid. Without it, a customer can come back months later and expect the old price.
  • Terms: payment (advance, credit period), delivery time and place, and who pays for transport.

Terms worth writing down

The starting terms are deliberately short. Add the ones that have caused arguments in your business before: a warranty period, what happens if the customer changes the order, whether installation is included, or that prices exclude anything not listed. A quotation is an offer under contract law, and the terms in it are what the customer accepts when they place the order, so vague wording costs you later.

From quotation to invoice

A quotation carries no tax, so it needs no invoice number and does not go into your returns. The tax point comes when you supply the goods or services and issue a tax invoice. Once the customer accepts, use “Convert to invoice” and the GST invoice generator opens with the same customer and items, numbered as your next invoice, with the quotation as the reference. Frequently asked questions

Is a quotation the same as an invoice?

No. A quotation is an offer: it tells the customer what you will supply and at what price, and it asks for nothing yet. An invoice is a demand for payment for something supplied. A quotation creates no GST liability, so it has no invoice number series to follow and does not go into your GST returns.

Should a quotation show GST?

It should, if you are registered and the customer will be charged GST. Showing the taxable value, the rate and the tax separately means the price the customer approves is the price they will pay, and a business customer can see the input tax credit they will get. The generator works out CGST and SGST, or IGST, from your state and theirs.

What is the difference between a quotation and a proforma invoice?

A quotation is sent before the customer decides, often to several customers or alongside competing quotes. A proforma invoice usually comes after the customer has agreed, to confirm the exact order or to collect an advance, and looks like the final invoice. Neither is a tax invoice. Both are available here.

How long should a quotation be valid?

Long enough for the customer to decide, short enough that your costs will not have changed: 15 to 30 days suits most goods, and 7 days or less when prices move quickly, such as metals or fuel. The generator starts at 30 days; change the “valid until” date to suit.

What happens when the customer accepts?

Click “Convert to invoice”. The customer, items, prices and tax move into the GST invoice generator as your next invoice, numbered after your last one, with the quotation number as the reference. Check the date and issue it.
